Job Summary

Reporting to the Chief Commercial Officer (CCO), the Executive Assistant (Commercial) will provide administrative support and assist with commercial tasks, compliance, and other business operations. The ideal candidate will have experience with legal agreements and be skilled in multitasking, communication, and project coordination and will work closely with the CCO and other team members on various initiatives.

Responsibilities
  • Provide comprehensive administrative support to the CCO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Assist in reviewing, drafting, and managing agreements, and other legal documents to ensure compliance with company policies and regulations
  • Organize and maintain confidential legal and business records, ensuring accurate filing and easy retrieval.
  • Anticipate needs/urgency and evaluate competing priorities i.e. meetings with managers and staff, business requirements, client engagements, etc.
  • Initiate re-prioritizing meetings, changing direction in response to unpredictable situations
  • Track and manage the lifecycle of contracts, including renewals, amendments, and terminations, and ensure deadlines are met.
  • Support special projects and initiatives, providing research, document preparation, and follow-up as needed.
  • Serve as a point of contact between executives and internal/external stakeholders, ensuring effective and timely communication.
  • Prepare agendas, take minutes, and follow up on action items to ensure the completion of key tasks.
  • Assist with compliance-related tasks, including tracking regulatory updates and maintaining company policies and procedures.
  • Identify opportunities to streamline processes and implement best practices to increase efficiency.
  • Miscellaneous administrative tasks and special projects as required

Qualifications
  • Minimum of 3-5 years of experience as an Executive Assistant, Legal Assistant, or in a similar role within a legal environment (corporate environment may be considered).
  • Strong understanding of legal terminology, contracts, and document management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • High attention to detail and ability to handle confidential information with discretion.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Adaptable, able to operate effectively and with composure under pressure and within time constraints
  • Strong organizational and problem-solving skills.
